Bibliographic Services Division: Cataloging and Records Maintenance Unit

The primary responsibility of Cataloging and Records Maintenance (CRM) is to create, obtain, and maintain bibliographic records for Milner Library's catalog (Endeavor Voyager). CRM verifies order information for the acquisition of library materials and participates in the ordering process. CRM verifies or enhances bibliographic descriptions, assigns classification and subject headings as needed and appropriate, and creates and maintains holding and item information. In addition, members of this unit also manage reports (Access) and create metadata for digital image collections (CONTENTdm).

While the subunits below reflect the major workflows within this unit, in fact most individuals are cross-trained and regularly perform additional tasks that enable the Division to accomplish projects and address seasonal demands.

Faculty Catalogers

  • Kate James, Cataloging Librarian
    Kate's focus is on cataloging special formats. She performs original cataloging of materials in assigned areas, currently encompassing: special collections materials, videos, and theses and dissertations; including description, subject analysis, classification, and authority control. She performs and supervises the original and complex cataloging of all monographic electronic resources and is the contact person for digitization projects and metadata, working closely with ContentDM. Kate also serves as a resource for cataloging faculty and staff.
  • Priscilla Matthews, Senior Cataloging Librarian
    Priscilla does original cataloging and classification of monographs (including serial analytics) and upgrades minimal-level cataloging found in WorldCat. She is the primary resource person for cataloging faculty and staff regarding monographic descriptive cataloging, authority control, Library of Congress Classification, Library of Congress subject headings, and historical cataloging practices. She also serves as the primary in-house trainer for OCLC Connexion, the Voyager Cataloging module, and CTK software, and is responsible for the technical coding information associated with the use of these systems. Currently she is a member of the consortial I-Share Cataloging and Authority Control Team (I-CAT).

Subunits

Rapid Cataloging and Metadata

The unit is responsible for all pre-order verification and pre-cataloging searching, and placing barcodes on new items. During the pre-cataloging searching the unit catalogs all monographs which have Library of Congress, Cataloging in Publication (CIP), or PCC records in OCLC WorldCat.

Member Copy Cataloging

The unit is responsible for cataloging all monographic items which have records contributed by OCLC member libraries, for cataloging all monographic items for the Illinois State University Laboratory Schools (Thomas Metcalf School and University High School), and for creating original records for the Illinois State University theses and dissertations. The work is divided into subject areas according to the Library of Congress classification schedules and by formats. The unit also maintains records for monographic added volumes and added copies. It performs maintenance of authority, bibliographic, holdings, and item records in the catalog.

Music Cataloging

The unit is responsible for cataloging all music books, music scores, music sound recordings (including original cataloging), and for creating original records for the Illinois State University theses and dissertations. The unit also maintains records for music added volumes and added copies, and performs maintenance of authority, bibliographic, holdings, and records for music materials. Serves as liaison with the Music Librarian and the Learning Resource Center for scores and music sound recordings.

Records Maintenance

The unit is responsible for maintenance of bibliographic, holdings, and item records for all of the library's materials. Maintenance updates the records for all location changes, including off-site storage and archives.

Federal Documents

The unit is responsible for cataloging materials received through the Federal Depository Program in all formats (serials and monographs, maps, pamphlets, electronic media, microforms, and mixed media). The unit also adds and maintains holding and item records for serial added volumes, holdings for periodicals, and performs maintenance of bibliographic, holding, and item records for all federal documents. Serves as liaison with the Government Documents Librarian.
